CaptionCast ("we", "our", "us") provides real-time speech transcription and translation services for live events. This Privacy Policy explains how we collect, use, and protect your information when you use our platform at captioncast.io.
1. Information We Collect
Account information. When you register, we collect your email address and a hashed password. If you create or join an organization, we store the organization name and membership details.
Audio data. During active meetings, your browser captures microphone audio and streams it to our servers for transcription. Audio chunks are processed in real time and are not permanently stored after transcription is complete. We retain the resulting text transcripts, not the raw audio.
Meeting transcripts. We store transcribed and translated text associated with your meetings so you can review, export, and manage them from your dashboard.
Payment information. We use Stripe to process payments. We do not store your credit card number or full payment details on our servers. Stripe handles this data under their own privacy policy.
Usage data. We collect basic usage metrics such as meeting duration, number of transcription minutes used, and feature interactions to operate and improve the service.
2. How We Use Your Information
We use the information we collect to:
- Provide real-time transcription and translation during your meetings
- Store and display meeting transcripts for your review
- Process subscription payments and manage your account
- Track usage against your plan limits
- Send transactional emails (account verification, password resets, billing receipts)
- Improve the accuracy and performance of our transcription and translation services
3. Audio Data Handling
Audio is captured from your browser microphone only while a meeting is actively running and only with your explicit permission (your browser will prompt you for microphone access). Audio chunks are sent over an encrypted connection to our transcription pipeline, processed into text, and then discarded. We do not record, archive, or sell raw audio data.
4. Third-Party Services
We use the following third-party services:
- Stripe -- payment processing and subscription management
- AI transcription services -- to convert speech to text (audio is processed transiently and not retained by these services beyond the request)
- AI translation services -- to translate transcribed text between languages
We do not sell, rent, or share your personal information with third parties for marketing purposes.
5. Cookies and Session Data
We use cookies strictly for session management and authentication. These cookies are necessary for the service to function and keep you signed in. We do not use third-party tracking cookies or advertising cookies.
6. Data Retention
We retain your account information and meeting transcripts for as long as your account is active. You can delete individual meetings from your dashboard at any time. If you close your account, we will delete your data within 30 days, except where we are required by law to retain it.
7. Data Security
We use industry-standard security measures to protect your data, including encrypted connections (TLS), hashed passwords, and secure session tokens. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Your Rights
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Delete your account and associated data
- Export your meeting transcripts
- Withdraw microphone permission at any time through your browser settings
